DESIGN AND IMPLEMENTATION OF A COMPUTERIZED POWER PAYMENT SYSTEM

INTRODUCTION

The use of computer (information technology) in electric power monitoring and payment is vastly gaining organization acceptance. The payment system starts from data collection (meter reading). Monitoring or inspection carried out to get meter reading from customers"  homes,  transformer  status  at various locations, to fault detection, such as electric cable condition and soon. These monitoring processes are either manual or partially automated, and as such associated with errors which cause inaccuracy and unreliability. The computer aided payment devices eliminate errors due to human limitations, preserve data effectively and alleviate complaints from aggrieved customers. There is a glaring need for the utilization of information Technology (IT) and computing potential in revolutionizing the nation's mode of power management and principals. This will serve as a vehicle for the drive toward a fully automated or computerized power monitoring processes. It will also provide the needed solution to most of the challenges resulting from the existing system which is potentially computerized. In this study, the design of a computerized power monitoring system is offered to foster the drive toward the full computerization or automation of the processes in the power sector. Chapter two of the study present an in-depth literature review of relates publication. The methodology or system analysis and design of the proposed system is describe in chapter three, chapter four contain the program design and documentation, while the conclusion, summary, and recommendations are proposed in chapter five of the study. The distribution of electricity is characterized by inadequate funding, poor billing and data collection efficiency, poor theft, high equipment vandalization, inadequate and ineffective customers' management relationship and practice, etc. On the part of EEDC it has been a tedious task to keep at breast with up to date facilities, electricity cables, transformers, etc. these inabilities contribute to their poor and attention to critical power problems. As a matter of necessity, only an online, real time monitoring transaction processing system can revert these plagues associated with manual procedures of power payment system. The question of turning to the computerized system rather than partially automated system which results in some form of discomfort due to poor operating environment becomes a major issues to be resolved. When the concept/issue of computing arrives, people develop some reluctance or hesitation; but with time, the need to keep an open door to the information age comes knocking Jacobson (2010) indicated that today's electric power generating plants are so large and complex that manual operation combined with analog sub-up control has become costly and undependable. He added that although the choice of proper equipment is important for any data handling and control system equipments done manually are inadequate in ensuring completely satisfactory operations. He proposed the RW.300 control and monitoring system with the following specifications: 

Computerize payment is an action in which the Billings for goods and services occurs without the need to pay in cash by hand. Many billing systems of this type provide the ability to generate and send electronic copies of the invoices to customers. The use of this type of billing systems makes it possible to manage the payment process with greater efficiency, saving the company both time and money.                                                                                                   There are several features that are common to computerize payment system. In most cases, the system is designed to allow the creation of customer profiles which contain all the data needed to accurately prepare them for shopping anywhere in the world. This data will include the customer name, billing address, billing contact, and an email address if the invoice is to be sent electronically. In most cases, the computerize power payment system will collect data from other sources that have to do with customer usage, or allow for the manual entry of orders once they are fulfilled. The processes within the billing system then apply the proper rates for each order and create an account.

Depending on how the computerize payment system is configured, the invoice may be printed out, along with a companion envelope, immediately after the invoice generation. However, it is possible to set up the system so that invoices are automatically printed at a specific time of day. There are even some examples of software that will prompt machinery to fold the invoice, insert it into a pre-addressed envelope, and seal the envelope. When email is used as the delivery medium, the system may expedite the delivery immediately after generating the invoice, or manage the email process at a specific time of day, an approach that allows business owners to survey invoices before they are sent out.                                                       Electronic payment systems of this type sometimes include the ability to receive and apply payments to outstanding invoices. For example, email invoices may contain an embedded link that allows the customer to immediately render payment after receiving and reviewing the invoice. Rather than requiring an individual to receive the payment and manually enter it into the Accounts Receivable database, the software recognizes the payment, applies it to the appropriate invoice number, and deducts that amount from the balance of the customer account.                               Computerize payment works very well with situations where a customer has a standing order, or there is a recurring payment that must be requested on a weekly or monthly basis. With this application, the system can be configured to automatically generate standing or recurring invoices to the appropriate customers, thus eliminating the need for one or more employees to spend hours on this repetitive task. The end result is that personnel can be utilized for different functions, allowing the workday to be more productive and thus cost efficient. The use of computerize payment billing is common today with companies of all sizes. Business types ranging from telecommunications to online retail stores benefit from the use of these types of system. By saving the company time and resources, businesses are able to keep expenses lower and thus remain more competitive.


STATEMENT OF PROBLEMS

Computerize power payment System is a necessity in PHCN, following the demand for billing in nowadays economy. The current manual system used in paying for services is not effective at all and sometimes still have some lapses existing in the process involved in carrying out the activities that goes on in the process of paying a bill. These lapses includes: -

i.        A customer might want to pay for services were there is no enough cash with them that can buy such service.

ii.       All Currency is made of Papers and nylon and the lifetime of them is very less that it easily get damaged, thus resulting in loss of such currency.

iii.      The divisibility of high denomination of money sometime do not encourage payment in a particular power Centre’s.

iv.      Manual system needs more manpower for its functioning than automated system. Expenditure is high in terms of salary and time.

v.       The other limitation of the existing system is that there is no security, considering someone who wants to pay for bill with small denomination of currency.

vi.      It creates redundancy in the casher’s table, since each customer as to be issued receipt and each receipts issued to customer have a duplicate attached to it behind.

          All these problems that make the researcher to embark on this project work, to design a computerized program of computer that will be solutions to the problems in PHCN Suleja division.


AIMS AND OBJECTIVES

The primary aims of the research project are to design and implement a computerized power payment system, which would assist suleja PHCN, casher’s in billing generating receipts to their customer.

          The objective for embarking on this project work is to find solution to the problems facing suleja PHCN in terms of Billings, payment and generation of invoice to their patriotic customers. These includes: -

1.       To design and implement an computerized power payment System where a customer can go, suleja PHCN and will be bill using cards and generate receipts for their customers after been billed by the system.

2.       To reduce workload of staff.

3.       To reduce the delay in processing time.

4.       To reduce the delay in bill generation.

5.       To provide the user-friendliness in all possible ways.

6.       To provide greater flexibility.

7.       Make maintenance changes easy.

8.       To store data in a centralized location to reduce redundancy and increase consistency.

10.     To bring about realizing cash-less economy.
