INTRODUCTION

For most students finding accommodation on campus is just as important as being accepted for university study. Application forms are available online but cannot be submitted electronically. Once an application has been submitted (by hand) it is difficult to track the progress of the application especially when a student is not in a remote Area and thus cannot visit the Accommodation office. This gave rise to the idea of introducing an online system for residence booking so that a student can use a Personal Computer (PC) to access the system and keep track of the progress of the process. Most Universities in the world post  residence application forms  on  their  websites  which students  can download;  complete  and  send  to the  University  for processing

The current trends system  allows  students  to select a residence from a list of residences and apply by submitting a completed form. The management  then faces  the  daunting and  tedious  task of processing all these written applications in order  to allocate  rooms  to the prospective students. This makes the whole process very complex and the confirmation of booking is often not made timeously.  Room allocation lists are posted on a notice board and students only know if they have been allocated a room once their name appears on the list.

It was felt that it  should be possible to book  a room in a residence  and get confirmation of the booking without having to travel to the location.

STATEMENT OF PROBLEMS

With the advances in electronic data processing in the world generally, Accommodation Agents must brace up to providing quality and Standard Accommodation Allocation process mechanism. Deficiencies or lapses in Student Accommodation Allocation systems provide the easies means to accountability, hence the need to work out an effective means of processing program solution for use on personal computer systems to Allocate Accommodation to students in IBB University Lapai.

Thus the research was able to identify problems with the existing system in place at Ibrahim Badamasi University, Lapai, as follows: -

i.        The system of accommodation allocation is been influenced

ii.       Accommodation is not allocated based on time of registration, which sometimes students that registered first are been denied accommodation.

iii.      There is always a problem of unauthorized personnel’s collecting money from student and promising accommodation.

iv.      There is delay in the process of accommodation allocation in the school.

v.       There used to be some sense of insecurity in the mode of Allocation slips collection.

vi.      There is the problem of storage space in Allocation office, more and more records are brought to the office every day.

v.       Sometimes students are allocated accommodation twice from the school allocation office.

vi.      Due to the manual system the Accommodation Allocation office operates, they end up giving Allocation slips, that they don’t have the Accommodation for such Students.

          All these problems are what make the researcher to embark on this research project, to design a program of computer system that will be solutions to the problems in Accommodation allocation Office of Ibrahim Badamasi Babangida University, Lapai.

AIMS AND OBJECTIVES

The primary objectives of the research project are to design and implement computer program, which would assist Accommodation Allocation Office in the processing and allocation of Accommodations to students of the school.

          The objective for embarking on this project work is to find solution to the problems facing Accommodation Allocation Office, Ibrahim Badamasi Babangida University, Lapai in their Student Accommodations Allocation system processes: -

i.        To develop a computer program which would help speed up the Accommodation processing and allocation system process.

ii.       To ensure that those who have the greatest priority for Accommodation have the opportunity to secure it.

iii.      To provide high storage capacity

iv.      To eliminate duplication of data and hence improve integrity of data

v.       To provide adequate security for data

vi.      To facilitates easy retrieval of stored data

vii.     To allow generation of allocation slip by an administrative user on a computer system

viii.    To be able to produce a number of student per room at any point in time.

ix.      To deal with unforeseen problems that arises anytime.
